Logan designs, manufacturers, sells, and services high quality, precision laboratory instrumentation for the pharmaceutical, biotech, contract, government, and academic laboratory environments. Logan is a capital equipment manufacturer with 80% of our orders coming from international locations; thus the order volume isn’t high, but each order has a large value. The Customer Service Rep is responsible for all customer order processing activities from PO order entry all the way to final invoicing once the products ship. We’re looking for someone that is friendly, professional, communicates professionally (verbally and in writing), and detail oriented. We strive to give our customers the very best customer service possible.
Responsibilities
- Order entry: Review and enter new purchase orders into the ERP system.
- Finance and shipping: Work with the finance department to determine customer payment terms. Work with production and shipping departments for estimated ship dates.
- Customer service: Send sales order confirmations to customers, communicate ship date changes to customers, proactively reach out to customers to inform them about order status.
- Production schedule: Review the production schedule for accuracy and completeness. Attend production meetings to ensure orders are being produced and shipped according to the commitments we made to our customers.
- Customer support: Front line for customer support including sending old invoices when requested, reprinting certificates, following up on payments, etc.
- Data archiving: After each order is manufactured and shipped, there will be 20-30 pages of paperwork generated. The CSR is responsible for scanning the packet and archiving it on the server. The originals can be shredded.
- Finance support: Crosstrain on accounts receivable follow-up and basic data entry for the Finance dept.
- ERP data integrity: Working with other departments, make sure the ERP has the correct items, part numbers, and pricing.
Skills
- Min. two years working as customer service representative for an equipment company
- Knowledge of shipping terms (INCO Terms a plus) and payment terms
- It would be a huge advantage if the candidate knows international letters of credit and cash against documents payment instruments
- Effective communicator (verbal and written)
- Positive, friendly, outgoing
- Ability to work independently
- Good knowledge of Microsoft Outlook
